What is this document?
Our Privacy Information page is designed to explain how and why Full Frame Technology processes your data.
We deliberately minimise the amount of data we collect, and we have done our best to use plain English and avoid jargon so that we can be as transparent as possible. Full Frame Technology is a company registered at Companies House as Full Frame Technology Limited with the number 10243217.

Full Frame Technology is registered as a Data Controller with the Information Commissioner’s Office. Our registration entry is here.
We don’t collect your information, unless you provide it to us as part of the sign-up process to receive our news digest or contact us with a general inquiry. We do not trade your information or make any other use of it.

Using this website
Cookies
Cookies are small files that are stored on your computer or smartphone. They can be used for a range of functions, including monitoring the number of visitors to a website, distinguishing who is visiting for the first time, and identifying their approximate geographic location.

We do not currently use cookies and, should this change, we will inform you in this document.

Trackers
Trackers are powerful tools that generate a range of information about website visitors. We do not make use of such tools ourselves, but at the moment the website does use Google fonts and this results in information being sent to Google. We are in the process of changing this. In the meantime, you can read more about Google fonts here.

Personal data
We will process your personal data for the following purposes;
Website operation
Connecting to a website can reveal significant information about you, including your IP address, where that address is located, the time and date, the pages viewed, and the type of browser and operating system.

Our website is hosted by Amazon Web Services (AWS). Like other hosting providers, AWS records details of connections in order to identify malicious activity. We do not use these logs to identify individual users and they are deleted after 3 months, unless there is a need to retain the information longer (e.g. if suspicious activity is being investigated).

IP addresses are considered personal data and therefore we need to explain why we process this information. Obviously, it is in the interests of the site owner (us) and visitors (you) to ensure its secure and smooth operation. This means the processing is carried out on the basis of legitimate interests, which we have assessed in line with guidance published by the UK Information Commissioner’s Office. You have the right to view the assessment and to object to the processing described above. If we receive such an objection, we will review our assessment with the aim of establishing the impact of stopping processing the relevant data.

Responding to ‘Contact Us’ requests
Currently, the Contact Us form is provided by Formoid. Completing the ‘Contact Us’ form and clicking on ‘Send Message’ results in an email being sent to us by Formoid. Although Formoid does not retain any email addresses, we are changing this process so that we use our own email server and avoid involving a third party. Your email address may be retained in our systems for up to 3 months or for as long as required as part of an ongoing business relationship.
The information submitted as part of the ‘Contact Us’ form is used to respond to your inquiry and so the processing of this data is carried out on the basis of legitimate interests. We have assessed this in line with guidance published by the UK Information Commissioner’s Office. You have the right to view the assessment and to object to the processing described above. If we receive such an objection, we will review our assessment with the aim of establishing the impact of stopping processing the relevant data.

News digest
When you sign up to our news digest, we will send this to you by email until you unsubscribe or tell us to stop.
Our news digest is distributed by Robly and contains a tracking mechanism that shows whether or not it has been opened. We have succeeded in using simple URLs rather than unique ones which tell us which links have been clicked. This is important because we believe obfuscated URLs are a security risk due to the user’s inability to see their actual destination.

Robly will access information about news digest subscribers only in specific circumstances as required by law, or in response to a complaint. The company’s full privacy policy can be viewed here.

We’ll send you the news digest on the basis of consent; ie you have specifically told us that you want to receive it.
We maintain records of who has subscribed and unsubscribed from the news digest distribution list in order to comply with section 22 of the Privacy and Electronic Communications Regulations (PECR). This is a legal obligation.

Contact
If you send us an email us (as opposed to using the website ‘Contact Us’ form), we will use the data you provide to reply. We will retain the messages we exchange for our auditing and accounting records.

Your rights
You have rights under data protection law which aims to help you understand and control how personal data about you is used. This section provides more information about these rights and how Full Frame Technology helps you to exercise them.

To be informed about processing
You have the right to a clear explanation of how your personal data is processed. That is the aim of this information. If anything is unclear, please do let us know by sending an email to privacy@fullframetech.com.

To access your data and details of our processing
This right is also known as ‘making a subject access request’ and it specifically covers;
• whether we are processing your personal data
• why this processing is taking place
• under what lawful basis your data is being processed
• the categories of your personal data that we are processing
• whether the data is being sent outside the EU
• the names of any other Data Controllers your data has been passed to, and the purpose and lawful basis for such transfers
• how long data will be kept and the criteria for retention
• the right to receive a copy of the data we are processing
If you would like to make a subject access request, please send an email to privacy@fullframetech.com. Please include your full name and a description of the data you are requesting. We will contact you to ensure we are releasing the data to the correct person so please include a phone number.

To object to some processing
You have the right to tell us to stop processing your personal data for direct marketing purposes. Once we receive such a request, we will stop sending you marketing communications and ensure your data is excluded from any marketing-related activities. In order to ensure we don’t contact you in the future, we will retain your details. If you would prefer us to delete your details completely, then please let us know.

You have the right to object to any processing of your personal data where the processing is based on legitimate interests. In such cases, we will review the original Legitimate Interests Assessment and explain our decision.

You have the right to have data deleted (which is sometimes referred to as "the right to be forgotten"). This right applies in the following circumstances where;
• you have withdrawn your consent and there is no further legitimate interest in continuing to process your data
• your objection to our processing under legitimate interests outweighs those interests
• the processing of your personal data is no longer necessary
• there is a law that requires the data to be deleted
• the processing is unlawful
Where the law requires us to process data, we won’t be able to delete it. In such situations, we will provide an explanation.

You have the right to limit how we use your personal data if;
• the personal data we are processing is inaccurate
• our processing is unlawful
• the data is no longer necessary for the original purpose of processing but needs to be kept for potential legal claims
• you have objected to processing carried out under legitimate interests and we’re still in the process of determining whether there is an overriding need to continue processing
In such circumstances, you can tell us to limit the processing of your data. The only exceptions are when data is processed as follows;
• with your consent,
• for the establishment, exercise or defence of legal claims, to protect someone else’s rights
• if there is an important public interest justification for processing
You have the right to data portability which means you can request your personal data so that it can be taken elsewhere. This right covers any data that is processed using automated means and which was either;
• provided on the basis of consent
• because it was necessary for a contract to which you are a direct party
In such circumstances, we will provide the data in a computer-based format, either directly to you or to another Data Controller.
You have the right to object to automated decision-making or automated profiling. We don’t carry out such processes.

To have data corrected
If you believe any of the data we hold on you is inaccurate or out of date, please let us know so that we can correct it.

Complaints
Given the nature of our business, it is obviously essential to ensure that you are happy with the way we process your personal data. If you believe that our approach is flawed, please do let us know so that we can correct the problem. If for any reason, our actions don’t satisfy you, the Information Commissioner’s Office has an online service that you can use to make a complaint.
